Position Duties / Responsibilities
OFFICE ASSISTANT II
Under minimal supervision, performs a variety of document control,
administrative, and/or clerical functions for a project or department.
May serve as document control lead on a small project, or lead a small
group within a larger project or functional group. May provide guidance
or direction to administrative support personnel. Contributes and
adheres to company and department policies and objectives.
Typically serves as work group lead.
Trains others in work group.
DOCUMENT MANAGEMENT OFFICE ASSISTANT, WOOD RIVER JOBSITE, WOOD RIVER,
ILLINOIS
NO RELOCATION AUTHORIZED
As part of the Document Management Team under the direction of the Field
Document Control Supervisor who controls and carries out document
management activities for the Project at the jobsite location.
Duties include, but are not limited to:
Utilizes the standard Electronic Document Management System (EDMS),
InfoWorks, to register, control, distribute, and transmit documentation.
Tracks and issues controled drawings using established methods and
procedures.
Supports construction quality audits andinternal technical reviews.
Processes jobsite generated records in InfoWorks.
Prepares routine documents using standard word processing, spreadsheets,
or other office software as needed to support work activities.
Prepares and updates to the project defiiciency reporting system and
Field Change Document System.
Keeps abreast of department technologies, techniques, and services that
are available.
Coordinates the implementation for the procedures.
Provides technical guidance to jobsite personnel in use of document
management automated tools.
1. Excellent written communication skills, includes appropriate use of
grammar and punctuation.
2. Excellent oral communication skills.
3. Demonstrated automation literacy.
4. Strong organizational skills.
5. Document Management experience with Engineering & Construction firm a
plus.
OFFICE AUTOMATION SKILLS:
Microsoft Word - Intermediate
Microsoft Excel - Intermediate
Microsoft Outlook - Intermediate
Length of Assignment: 1 - 2 years
Must have the right to work and remain in the U.S.
Candidate must undergo a client required background check to obtain
refinery access badge.
Prefer 1-3 years experience in the Oil Gas & Chemical industry or worked
with an Engineering or Construction Company
