Coordinator, Development/Assistant to the Executive Director

Position Summary

We are seeking a development coordinator/assistant to the executive director to provide critical administrative support for the regional development team and the executive director, enabling Newark to move more efficiently and effectively toward reaching ambitious revenue goals of $3 million in 2010. The development coordinator/assistant to the executive director’s primary responsibilities are to ensure all development data is accurate so that the team can use it to inform strategy and track progress to goal, create efficient systems to manage all development processes so that the team can efficiently manage donor relationships. Additionally, this person will serve as a ‘right-hand’ support and confidential assistant to the executive director. The development coordinator/assistant to the executive director will report directly to the executive director.

Founded in 1993, Teach For America – Newark has 100 corps members reaching more than 8,500 students in Newark and Passaic public schools. Additionally, over 330 alumni are working from all sectors to close the achievement gap in the area. The region is supported by a funding base of over $1.8 million, and 9 regional staff members work to train and support corps members, continually strengthen relationships with local schools and districts, foster the leadership of local alumni, and continue to grow the regional funding base to ensure that Teach For America – Newark can have an even greater impact. By 2010, the region aims to support a corps of nearly 130 teachers, allowing the region to affect the educational outcomes of nearly 11,000 students every year.

Responsibilities

Development Coordinator Administrative Support (15%)
• Assuming a proactive role in increasing the efficiency and organization of the development team
• Preparing meeting packets, toolkits, proposals, e-newsletters and mailings
• Schedule and calendar management and coordination for regional development team
• Managing the administration and logistics for advisory board meetings and on-going board correspondence
• Supporting the management of the regional “Sponsor A Teacher” campaign (our fundraising campaign that matches individual donors to Teach For America teachers) by working with the Development Director
• Other responsibilities as determined by organizational need

Development Operations (15%)
• Maintaining a comprehensive fundraising database (Raiser’s Edge data entry, report generating, database maintenance, donor hard files are up to date)
• Processing contributions in funder management database and generation of acknowledgements of contributions
• Managing the deadline-driven calendar of all development activities related to corporations and foundations, by researching grant guidelines and submission of grant materials on time
• Conducting preliminary funder research, supporting other development team members in cataloging and collecting information and data necessary for grant reports and updating proposals and supplementary materials
• Coordinating and executing all of the region’s development related events (includes formal receptions as well as school visits/tours for donors and prospective donors) and ensuring cross-team collaboration

Writing and Communications (25%)
• Writing, editing and compiling proposals, mid-year reports and final reports for foundation, state, and corporate grants
• Writing, editing and coordinating mailings to funders, including thank you letters and tax acknowledgements, update letters and newsletters/e-newsletters, and introductory letters
• Assisting in the creation of compelling fundraising communications

Executive Director Support (40%)
• Providing administrative support including scheduling meetings and conference calls, maintaining calendars, arranging travel, managing correspondence, and processing reimbursements for the executive director
• Maintaining an accurate and up-to-date contact database
• Interacting in person, over email, and via telephone with regional team members and external constituents on an ongoing basis on behalf of the executive director
• Responsibly stewarding confidential information necessary to perform the functions of the role on behalf of the executive director
• Drafting and/or editing correspondence to team members and external constituents
• Driving and participating in a variety of special projects including research, creation of Power Point presentations and databases, and others yet to be determined to support the executive director in reaching the team’s ambitious goals
• Assuming a proactive role in increasing the efficiency and organization of the executive director

Candidate Profile and Experience Prerequisites

• Bachelor’s degree required
• Prior administrative experience is preferred
• 0-5 years of experience
• Excellent organization skills and attention to detail
• Excellent ability to multi-task accompanied by a spirit of flexibility and positive outlook
• Exceptional written and interpersonal communication skills
• Ability to work effectively in a fast-paced, deadline-driven environment
• Strong research and analytical skills
• Strong customer service ethic
• Knowledge of MS Outlook, PowerPoint, and Excel are preferred
• Knowledge of Raiser’s Edge and/or ability to learn new software applications quickly are preferred
